Troubleshooting: Unable to delete account no. xxx-xxx. The reason is account no. xxx-xxxx. has been used in Cash Book Detail

Question : When I try to delete account code 491-0000 in Account Maintenance, an error message prompted: Unable to delete account no. 491-0000. The reason is account no. 491-0000 has been used in Cash Book Detail…… but I couldn’t find any transaction of this account ?

Possible Reason :

The account has been used in Cash Book Entry but the transaction is cancelled.


Solution (1) :

1) Go to G/L > Cash Book Entry > Print Cash Transaction Listing.


2) Click on Advanced Filter…., make user No Filter is selected for Cancelled Document, under Detail Search Fields, select Account No 491-0000, and click on Search.


3) Here shows the result of documents that involved the account code.


4) You may double click on it to open the document. It is a cancelled document, if you wish to delete the account code 491-0000, you will need to delete this document first, or change the account code for this document.


Solution (2) :

You may find out the document involved using AutoCount Management Studio.


1) Login Auto Count Accounting Management Studio.


2) Go to Tools > SQL Query. System will prompt you a warning message, just click onYes. A blank SQL Query box will be prompted.




3) Type the following SQL query:

select * from cb where dockey in (select dockey from cbdtl where accno = '491-0000')

After that, click on Execute.



4) From the result, you get the Doc No PV-000006. You may login to AutoCount, open the document from Cash Book Entry and delete the document or edit account number before you can delete the account code from Account Maintenance.
