Profit and Loss Statement

This is to view/print Profit and Loss Statement.


Go to G/L > Profit and Loss Statement


Date: define the date as at..

Report Title: (first row) '#Company' means the company name as maintained at Company Profile; (second row) '#StartDate' means the Start Date of current fiscal year; '#EndDate' means the Date you have defined at the top of this screen.

Save Criteria: to save the report criteria for future use.

Load Criteria: to select and load from earlier saved criteria.


Report Format

Formats available are as below:



Options

Show up to level: to show multi level accounts up to maximum 20 levels.

Show Account No.: to show account number of each ledger account

Show Zero Balance: to include accounts with zero balance

Use 2nd Description: to show the 2nd row of account description instead of the first row

With Percent: to show the percentage of each amount under a column '%'

Appropriation on new page: to separate the Profit & Loss Appropriation Account on a new page.

Net Profit & Loss only: do not show Net Profit After Taxation and Net Profit After Appropriation.

Has Accumulated Profit & Loss: to show accumulated profit/loss B/F and C/F.

Show amount in parent acc.: to show total amount in each parent account when Show Multi Level Accounts is on. If unchecked, an additional row will be inserted after the last sub-account to show the subtotal.

Show Actual/Budget %: to show a comparison percentage of actual amount and budgeted amount

Use Account Type Level: this function is to show up to level based on Account type. Need to tick 'use account type level', then it will based on the Account Group Level (other settingsSet Account Group) to show sub-account level.

Sort By Account Description: to sort account description by alphabet


Advanced Options...



Header: to show Page Number, Date & Time, and User ID on the report header

Number Style: option to round up to 10, 100, 1000, or 10000; option for format of negative amount; option to show decimal.

Text Styles: define separately font and color for the components of the report.

Paper: to set the width and height of printing paper. (e.g. 2159 unit = 215.9 mm)

Margin: to set the margin of left, right, top and bottom (e.g. 127 unit = 12.7 mm)

Column Width: to set the width of the columns of Number, Acc No, Percentage and Description (e.g. 230 unit = 23.0 mm)

Account Indentation: to set the indentation of sub-accounts

Row Height: to set the height of rows

Auto adjust column width and font size: to make auto adjustment according to paper size

Show Currency Symbol: to show the symbol currency

Reset: to use the default setting

OK: to save the setting

Cancel: to cancel changes and return to previous screen (same as pressing Esc button on your keyboard)


Click on Preview,


Click on the amount of any account.

A Transaction Drill Down screen will be prompted, listing the transaction entries that contributed to this amount.

Double click on any of the entries will drill in to the source document.


Custom Column

This report type allows user to define and arrange the columns of months, quarters, years, fixed date range and expressions. User may also define the projects/departments involved, show percentage or show the budgeted amount.

To use this, you need to first enable the module of Advanced Financial Report at Tools > Program Control > Module Setting


At financial report screen, select Custom Column as Report Format,



Click on Edit Column,



Add/Remove/Move Up/Move Down: click on Add to add a new column; click on Remove to delete the highlighted column; use Move Up and Move Down to arrange the sequence of the columns (the first column will be on the leftmost and bottom column the rightmost)

Header: the caption of the column that will appear on the report.

Type: define the type of column.

MTD: Month-to-Date, based on the date defined, Param1 if set to 0 means MTD of current year, 1 means the following year, -1 means the previous year, -2 means the year before the previous year...etc

Example:

Param1: the Date is 19 May 2017, and Param1 is -1 .... this column will show the MTD value for the period of '1st May 2016 ~ 19th May 2016'.

Param2: the Date is 19 May 2017, and Param1 is 0 .... this column will show the MTD value for the period of '1st May 2017 ~ 19th May 2017'.

QTD, Quarter-to-Date, based on the date defined, Param1 if set to 0 means QTD of current year, 1 means the following year, -1 means the previous year, -2 means the year before the previous year..etc

YTD, Year-to-Date, based on the date defined, Param1 if set to 0 means YTD of current year, 1 means the following year, -1 means the previous year, -2 means the year before the previous year..etc

Month, based on the date defined, Param1 if set to 0 means the whole current month, 1 means the following month, -1 means the previous month, -2 means the month before the previous month..etc

Quarter, based on the date defined, Param1 if set to 0 means the whole current quarter, 1 means the following quarter, -1 means the previous quarter, -2 means the quarter before the previous quarter..etc

Year, based on the date defined, Param1 if set to 0 means the whole current year, 1 means the following year, -1 means the previous year, -2 means the year before the previous year..etc

FixedDate: to set a date range. Param1 means Date From, Param2 means Date To. The date can be any date and not necessary the beginning or the end of month... for example:



Expression: use common expression or mathematical symbol such as + - * / ( ) to obtain the value for this column by using value from preceding column(s).

Note: Expression must be keyed in at Param1 (only columns prior to it can be used in expression).


Example:



Param1/Param2: Parameter 1 are mainly used to further define the characteristics of a column; Parameter 2 is used only for the type of FixedDate.

Show Percent: when this checkbox is checked, an additional column will be inserted (immediately after or on the right of current column) to show the percentage.

Project/Department: this is to define the projects/departments involved



Budget: select a budget that is maintained at G/L > Budget Maintenance. When a budget is selected, this column will show the budgeted figure in report. Please be aware that, budget value is maintained in monthly basis, thus the whole month budget will be showed even though you have defined the type as MTD or FixedDate...
