Troubleshooting: Trial Balance and Balance Sheet is not balance

Question: Trial Balance is not balance, the value of the credit and the debit balances are not the same. Why?

Version: 1.8 / 1.9 / 2.0 / 2.1

Possible Reason:

(1) You have created Retained Earning account as a normal account.
(2) There are values keyed in at parent accounts.
(3) Opening balance maintenance / YTD balance maintenance is not balance.
(4) Opening balance Stock account amount is not the same as amount that keyed in at Stock Value Maintenance

Possible Reason (1):

You have created Retained Earning account as a normal account. Retained Earnings (or Retained Profit) account must be of Special Account Type (SRE) should you need the system to calculate and show accumulated profit (except current year).

Solution (1):

Go to G/L > Account Maintenance, create new Retained Earning account under special account.

Possible Reason (2):

Most probably you have made some changes in chart of account, and resulting to have value stored in parent accounts.

Solution (2):

Login AutoCount Accounting Management Studio and go to Tools > SQL Query.

Type the following into SQL Query Box:

Select AccNo, TransDate, Description, RefNo1, RefNo2, SourceType From GLDTL Where AccNo IN (Select ParentAccNo From GLMast)

After that click the Execute button on the top left of the windows.

If you get some result at the lower part of the content, it means here is some amount in your parent account(s). You may refer to the columns to find out where and which are the affected accounts or transactions.

You may look into your account book and search for that transaction, then make the necessary correction (Make sure there are no parent accounts being selected in any document).

Possible Reason (3):

Opening balance maintenance / YTD balance maintenance is not balance.

Solution (3):

Please make sure Opening balance maintenance / YTD balance maintenance is balanced.
